Privacy Policy

This Privacy Policy describes how AptAI Systems ("we", "us", "our") collects, uses, and protects information when you visit aptaisystems.com or interact with our services.

1. What we collect

Analytics data. We use Google Analytics 4 to measure aggregate traffic — pages visited, time on site, referrer, device, and approximate location. Data is anonymized and used to improve the site.

B2B visitor identification (RB2B). When you accept cookies, we use RB2B to identify the company you visit from and — for U.S. visitors only — your professional contact information (name, business email, LinkedIn profile, employer). RB2B uses first-party cookies and a GDPR-compliant Geo-IP service to determine your location; person-level identification is performed for U.S. visitors only. No identifying data is collected before you accept the cookie banner.

Contact data. If you book a call via Calendly or email us directly, we collect the name, email, company, and any messages you send. This information is used solely to respond to your inquiry and assess fit.

Cookies. We set a small consent cookie to remember your cookie preference and a session cookie via Google Analytics. After you accept, RB2B sets first-party cookies for visitor identification — see Section 7 for the full list. You can decline at any time via the consent banner.

2. Why we collect it

We use this data to (a) understand how visitors use the site, (b) respond to inquiries, (c) identify in-market B2B prospects so we can reach out with relevant outbound communications, (d) qualify potential client fit, and (e) maintain and secure the website. We do not sell your information for third-party advertising.

3. Third-party services

  • Google Analytics — traffic measurement
  • RB2B — B2B visitor identification (loads only after consent)
  • Retention.com — RB2B's parent company; processes the visitor-identification network on RB2B's behalf
  • Calendly — call scheduling
  • Vercel — website hosting
  • Google Fonts — typography delivery

These providers process data subject to their own privacy policies.

4. RB2B-specific disclosure

The following language is provided in accordance with RB2B's required disclosures:

When you visit or log in to our website, cookies and similar technologies may be used by our online data partners or vendors to associate these activities with other personal information they or others have about you, including by association with your email. We (or service providers on our behalf) may then send communications and marketing to these email addresses. You may opt out of receiving this advertising by visiting https://app.retention.com/optout. You also have the option to opt out of the collection of your personal data in compliance with GDPR by visiting https://www.rb2b.com/rb2b-gdpr-opt-out.

5. Your rights and how to opt out

You can request access to, correction of, or deletion of any personal data we hold about you. Email avinashraju05@gmail.com to exercise these rights.

To opt out of tracking on this site:

  • Click Reject all on the cookie banner — RB2B and Google Analytics will not run. Google Analytics defaults to a denied state under Consent Mode v2 until you accept.
  • To re-open the banner and change your choice at any time, click Cookie preferences in the footer of any page.
  • We honor the Global Privacy Control browser signal (Sec-GPC: 1). If your browser sends GPC, we treat it as a Reject for analytics, advertising, and visitor identification — no banner is shown and no identifying tracking is loaded. (You can verify GPC is on at globalprivacycontrol.org.)
  • To opt out of RB2B's identification network site-wide (any site that uses RB2B): https://app.retention.com/optout. This is also linked as "Do Not Sell or Share My Personal Information" in our footer.
  • EU/UK/EEA visitors — to opt out under GDPR: https://www.rb2b.com/rb2b-gdpr-opt-out.

6. EU / UK / EEA visitors (GDPR)

If you are visiting from the European Union, United Kingdom, or European Economic Area, no identifying tracking, analytics, or RB2B cookies are set until you provide explicit consent via the cookie banner. The banner offers equally prominent Accept and Decline options. RB2B uses a GDPR-compliant Geo-IP service that returns only a true/false location value and does not share IP addresses with RB2B before consent.

You may withdraw consent at any time by re-opening the banner via the Cookie preferences link in the footer, by using the GDPR-specific opt-out link above, or by clearing your browser storage for this site. You can also exercise your GDPR rights — access, rectification, erasure, restriction of processing, data portability, objection, and the right not to be subject to solely automated decision-making — by emailing us. We respond to verified requests within 30 days. The lawful basis for processing is consent (Art. 6(1)(a) GDPR) for analytics and visitor identification, and legitimate interest (Art. 6(1)(f) GDPR) for responding to inquiries you initiate.

7. Cookies we set

The cookies in the table below are set only after you accept the cookie banner. None of these cookies contain personally identifiable information; identity resolution happens server-side after consent is given.

All RB2B cookies are first-party, set under aptaisystems.com, and contain no personally identifiable information.

8. California residents (CCPA / CPRA)

Under the California Consumer Privacy Act and California Privacy Rights Act, California residents have the right to:

  • Know what categories of personal information we have collected about them and the sources, purposes, and recipients.
  • Delete personal information we have collected (subject to legal exceptions).
  • Correct inaccurate personal information.
  • Opt out of the "sale" or "sharing" of personal information for cross-context behavioral advertising.
  • Limit the use of sensitive personal information.
  • Non-discrimination for exercising any of these rights — we will not deny service, charge different prices, or provide a different level of quality.

Categories of personal information we collect: identifiers (name, email, IP, business contact data via RB2B), commercial information (services discussed), internet/network activity (analytics events, page views), professional information (employer, job title via RB2B for U.S. visitors), and inferences drawn from the above (account fit signals).

We do not sell personal information for monetary consideration. Our use of RB2B may constitute "sharing" under CPRA's broad definition (cross-context behavioral identification); we honor opt-out requests via the mechanisms below.

To exercise any of these rights:

  • Click "Do Not Sell or Share My Personal Information" in our footer (links to RB2B's network-wide opt-out).
  • Enable Global Privacy Control in your browser — we honor it automatically site-wide.
  • Email avinashraju05@gmail.com for access, deletion, or correction requests. We respond to verified requests within 45 days.

You may designate an authorized agent to make a request on your behalf in writing. We may need to verify your identity before fulfilling the request.

9. Data retention

Analytics data is retained per Google's default retention. RB2B identification data is retained per RB2B's retention policy or until you exercise an opt-out. Inquiry data is retained for the duration of any active engagement plus a reasonable period for follow-up, then deleted on request.

10. Children's privacy

Our website is intended for business users and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will delete it.

11. International transfers

AptAI Systems is operated from the United States. If you visit from outside the U.S., your information will be transferred to and processed in the U.S. and other jurisdictions where our service providers operate. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for international transfers of personal data originating in the EU/UK/EEA.

12. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be communicated through the cookie banner or a notice on this page; we will request fresh consent where required.
